The owner's guide
Version 1.0, 29 October 2026. Written for app v3.11.3.
Everything only the owner does, and where the app stops and we do it for you. Where this guide says "ask us", write to connect@roughneckcrm.com (the button at the foot of Help opens it with your shop and version filled in). A person reads it.
Roughneck is run by Bootstrap Digital, Inc. (in formation), doing business as Roughneck.
Who can do what
A seat is one of four roles: Owner or partner, Sales leader, Sales rep or Operations. The owner and the sales leader can do everything in this guide unless it says owner only. Reps and operations seats get the same view as each other.

Everyone on the shop's account sees the shop's board, so two people never call the same operator. A rep's notes and calls belong to the shop, and stay with it when the rep leaves. That is in the User Terms each person agrees to at first sign-in.
Codes
The founder code
The founder code (RN-XXXX-XXXX) sets up your shop. It carries your states and add-ons, works once, and is spent the moment the shop exists. Your reps never need one.
Add a code for more states or an add-on
- Three dots by your name, Settings, Your shop.
- Under Add a code, put in the code we sent you and tap Add it.
- The app says which states it opened and pulls the territory. The new states show on the Filings State dropdown and on Territory.
To ask for a state: Settings, Your shop, Add a state, Ask for one. A state is priced for your company, not per seller. We send the price in writing.
To ask for The Handshake: Settings, Quotes, Ask us to turn it on. It opens an email to us with your shop and seat count already in it.
States
Your states come with your code. There is no state picker in the app. Settings, Your shop, Your states shows what you have.
Seats
Add a rep
- Three dots by your name, Team.
- Under Add your people, tap Share the code and send it in a text.
- The rep opens roughneck.app, taps Create an account, signs in with the code from their email, taps Join my company and types your code.
The rep is on your board the same minute. The code is also in Settings, Your shop, and on Territory.
A seat works on two devices, a phone and a computer. A third device signs out the one used least recently.
Remove a member
There is no remove button in the app yet. Ask us with the person's name and email and we take the seat off.
When the seat is gone, that person's phone clears your shop's book the next time it opens. If they had work that had not reached the server, it offers to save it to a file first.
What happens to a rep's book
Accounts, quotes and their history are the shop's, and stay with the shop. Signed quotes and tickets stay so your customers can still check them. A rep can also delete their own seat (Settings, Your data, Delete my account); the shop's shared records stay with the shop.
What reps can and cannot see
- Every seat sees the shop's board on Territory and every rep's numbers on Team.
- Notes and calls a rep logs are visible to the owner and the sales leader.
- Reps cannot change the company name, logo, paperwork, codes or the rep download switch.
- Reps can download their work only when you turn it on.
Your shop's data
Download
- Settings, Your data.
- Under Download your work, tap Download beside Calls, visits and notes, The people you added, Your customers or Your quotes.
Each file is the work on the device you are using. For a download of the whole shop, every seat together, ask us.

How long it is kept
Your calls, notes, quotes and signatures stay for as long as the shop's account is open, and for 90 days after it closes, then they are deleted. A signed document's signing record is kept for seven years after its last signature, so either side can still check it. The state's filings are public record and stay.
Close the shop
Each person can delete their own seat in Settings, Your data, Delete my account. To close the whole shop, ask us.
Territory one rep at a time
- Tap Territory.
- Under Salesman, pick a rep. Everyone goes back to the whole shop.
The board and Going cold narrow to that rep. This is the owner's view only.
The customer clocks
Every won customer runs four clocks on its own. Each seller sees them on their customers; you see them on the whole shop's.
- Visit clock. Every 45 days from the last visit logged, unless the account says Every two weeks, Monthly, Every six weeks or Quarterly. The card says Visit in 12 days, Visit due today or Visit 5 days late.
- MSA clock. Put in MSA runs to under the account's Paperwork. Ninety days out, the card warns: get in front of it before procurement puts it out to bid. On an account not won yet, an MSA date moves it to Won.
- Rate clock. Put in Rates last set. A year later the card says your rates were last set that many months ago.
- Gift log. Gift on the card records what you gave, to whom, roughly what it cost and when. Set What their company allows and the app warns before a gift goes over it.
Your shop's own dates (insurance certificates, EMR letter, OSHA 300A, the networks you are on) are in Settings, Paperwork. The owner and the sales leader keep them; the phone reminds you three weeks before each date.
The Handshake
The Handshake is the add-on that puts your quotes and field tickets under your own brand and logo. With it:
- Your logo and name head the paper, and the Roughneck footer comes off. You can add the customer's logo too.
- You can ask the customer to show a photo ID before they sign (Ask for ID). The check is run by Stripe Identity on the customer's phone.
- Make it signable turns a quote you brought in into one both sides sign in Roughneck.
- Field tickets.
Without it, you still build quotes, sign them, send the signing link and get them signed. The paper carries a Roughneck footer.
